Payments may be made by wire transfer or credit card and must be received, in full, 30 days prior to the arrival date. A deposit of 30% must be paid immediately upon reservation. Reservation confirmation will be sent when a deposit has been received. Our bank details are provided on the invoice. Payment must include all bank transfer charges (including intermediary bank charges).
Refunds and cancellations
Written cancellation must be submitted in order to provide a refund.
If ACPA cancels the session after a participant’s enrolment, ACPA will refund all payment already paid by the participant.
In the event that a refund is due, prorated refunds will be calculated on a weekly basis. When determining the number of weeks, ACPA will consider a partial week the same as if a whole week were completed, provided the participant was present at least one day during the scheduled week.
Participants cancelling fewer than 30 days before arrival will be charged full price of the course.
Course cancellation after arrival or “no shows”
No refunds of tuition, registration fee or placement fees will be given by ACPA once the participant has started his/her course.
Cancellation prior to arrival
To participants cancelling over 30 days prior to the course start date, ACPA will refund fees received in full less any non-refundable charges (accommodation placement fee, registration fee, courier fees and bank charges).
For participants cancelling before arrival, refunds will be made within 45 calendar days of the first scheduled day of class or the documented date of cancellation, whichever is earlier.
For an enrolled participant, the refund due will be paid within 45 calendar days from the documented date on the participant’s written notice of withdrawal.
Any refunds due will be paid to the person or organization who originally paid the fees.
Changes to enrolment
ACPA reserves the right to charge an administration fee of 150USD each time the course, accommodation or center is changed or postponed after ACPA has confirmed the initial enrolment. This also includes requests for changes whilst the participant is at school.
Public holidays 2015 — falling on a weekday:
US: 2 Jan, 19 Jan, 16 Feb, 25 May,
3 Jul, 4 Jul, 7 Sep, 12 Oct, 11 Nov, 26 Nov, 25 Dec
All ACPA centers will be closed on Public Holidays. ACPA does not make up for lessons missed on these dates.
There is no refund for lessons missed.
Reissuing lost/misplaced participant certificates
Level of English
If a participant does not have the minimum level of English required to follow a specific course, as determined by ACPA’s Placement Test, ACPA reserves the right to move the participant to an appropriate course for their level.
Flight details including: arrival time, flight numbers, airline and point of origin must be advised 7 days prior to arrival in order for ACPA to provide airport transfers. No refunds will be granted on transfers if flight details are not sent to ACPA at least 7 days prior to arrival. Airport transfer fees include a maximum of 1 hour waiting time. In the event of delays exceeding 1 hour, participants will be charged the additional fee at the school.
Private lessons will be scheduled subject to teacher/classroom availability.
ACPA reserves the right to use classrooms in alternative premises of a similar standard.
ACPA will not be responsible for any failure to comply with any of its obligations (and therefore shall not be required to provide any compensation) if the failure is occasioned by any cause beyond ACPA’s reasonable control. Nor shall ACPA be responsible for any costs incurred by or on behalf of the participant as a result of any such cause. Such causes shall include but shall not be limited to war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, unusually adverse weather conditions and infectious diseases.
Please note ACPA does not provide supervision for participants who book an adult course.
ACPA reserves the right to expel participants for unacceptable behavior or lack of attendance. No refund will be given. Repatriation is at participant’s own expense.
Damage to property
Participants must pay the full cost of any damage they cause to property.
Participants must have adequate health, accident and travel insurance while attending any of our programs. ACPA Centers in the US require participants to show a proof of health insurance upon arrival. Where proof is not available, participants must immediately purchase at least one week’s insurance from ACPA. ACPA reserves the right to claim this cost from uninsured participants, and during this week participants must purchase insurance for their entire stay. Uninsured participants may not attend class until proof of insurance is available, and will not be refunded for lost class time.
ACPA will not be held liable for loss, damage or injury to persons or property.
Photography & filming
ACPA may take promotional photographs and video footage of participants. If participants do not wish to participate, ACPA will respect their wishes if ACPA has been notified in writing.
It is the responsibility of the Applicant to contact their local consulate (or other appropriate office) in sufficient time to obtain any visas/entry documents for visiting the United States.
ACPA can assist with queries regarding the visa application process at the time of booking however ACPA cannot be held responsible for information which is constantly being updated through visa websites. It is therefore the responsibility of the applicant to ensure that the most updated regulations/processes are being followed. ACPA cannot be held responsible for any visa regulation changes, which occur after the booking has been confirmed in compliance with the then existing regulations.
